Annual Federal Grant Oversight

The Grant Doctors’ grant oversight service enhances your existing staff by monitoring client-selected federal grants for compliance with grant requirements and federal regulations:

  • Grant management systems assessment with report of results and recommendations.
  • Monthly on-site office time (2 days per month) with organizational leadership, grant project director and grant staff.
  • Monthly on-site professional development for grant project staff.
  • Monthly check-in conference calls with grant project director.
  • Quarterly on-site audit of expenses, program and fiscal documentation and drawdowns.
  • Notify organizational leadership about potential areas of noncompliance and/or internal control weakness (ongoing).
  • On-call technical assistance and support by telephone, Email and Skype between site visits.
  • Attend required grantee meetings in Washington, DC with your project director and staff.
  • Participate on project update conference calls with your federal program officer as needed.
  • Liaison with your federal program officer and department officials.
  • Biannual in-person meetings with federal agency representatives to communicate project achievements.
  • Assist with preparation of project scope changes and prior approval requests to federal funders.
  • Assist with preparation of required Annual Performance Reports and/or Final Grant Closeout Report.
  • Assist with preparation for federal on-site monitoring reviews or desk reviews upon request.*
  • Develop and oversee corrective action plan if necessary, upon request.*

Sustainability Planning

Through a collaborative engagement, The Grant Doctors will work with your organization’s leadership and board members to create a comprehensive sustainability guide with strategies for maintaining your program’s efforts after grant funding ends.

Our process involves an in-depth analysis of how current local, state and federal resources are being allocated in relation to the project’s implementation; a review of past budgets and expenditures; an examination of applicable federal funding; and fiscal workshops with your board and organizational leadership to determine vision and priorities.

Federal Grant Documentation and Systems Review

The Grant Doctors will meet with your staff, review organizational policies and procedures and look at your existing grant documentation to examine how your organization currently manages federal awards compared to federal expectations. We also review expenses charged to up to four of your active federal grant awards. Our report will identify strengths, weaknesses and recommend improvements. This review is not a quick in-and-out; we will be on-site for three days. We dig deep. Results are 100% client confidential. Service includes four hours of post-review on-call support.

On-Call Support

Occasionally, a grantee has questions about grant management regulations or needs advice on how to modify a project (or correct an issue) or needs assistance completing an annual report, for example, but they don’t want to inconvenience their federal program officer. That’s where we can help.

The Grant Doctors will provide your organization with 25 hours of federal grant management technical assistance and support per quarter via telephone, Email and Skype. A greater number of hours per quarter is available upon request.
